Practical Digital Tools for Growing Businesses in Malawi
Digital technologies and artificial intelligence (AI) are increasingly becoming valuable tools for small businesses, helping entrepreneurs improve how they market their products, manage finances, engage customers and run their businesses more efficiently.
The AI & Digital Transformation Toolkit provides a practical guide to help women-led micro, small and medium enterprises (MSMEs) make better use of digital and AI-powered tools in their businesses. The toolkit was developed based on a pre-programme assessment of 208 women-led MSMEs participating in the IYBA WE4A programme in Malawi.
Understanding the Digital Needs of Women Entrepreneurs
The assessment highlighted both the opportunities and challenges women entrepreneurs face when adopting digital technologies.
Many of the businesses already have access to smartphones and use digital platforms to communicate with customers and promote their products. However, gaps remain in areas such as financial management, record keeping, marketing and the effective use of digital business tools.
The toolkit therefore focuses on practical solutions that entrepreneurs can adopt using familiar devices such as smartphones and, where possible, free or accessible digital tools.
Practical Digital Tools for Business Growth
The toolkit introduces a range of tools that can support different areas of business operations.
Marketing and Customer Engagement
Digital platforms can help entrepreneurs increase their visibility and communicate more effectively with customers.
Tools such as Canva, Meta Business Suite and WhatsApp Business can support entrepreneurs in creating promotional materials, managing social media content and communicating with customers.
AI tools such as ChatGPT can also assist with developing marketing ideas, writing social media posts, creating product descriptions and preparing other business communications.
Financial Management and Record Keeping
Keeping accurate financial records is an important part of running a sustainable business. The toolkit introduces tools such as Google Sheets and Zoho Books to help entrepreneurs organise financial information and improve record keeping.
Moving from informal or paper-based records to simple digital systems can make it easier for entrepreneurs to track income, expenses and other business information.
Customer Relationship Management
Maintaining good relationships with customers is essential for business growth. WhatsApp Business can help entrepreneurs communicate with customers, while Zoho CRM provides tools for organising customer information and managing interactions.
These tools can help entrepreneurs move towards more structured customer management as their businesses grow.
Saving Time Through Automation
The toolkit also introduces entrepreneurs to automation and AI tools that can reduce repetitive tasks.
ChatGPT can support entrepreneurs with a variety of everyday business tasks, while Zapier can be used to connect different digital applications and automate selected workflows.
The goal is not to replace the entrepreneur's role, but to help save time and allow business owners to focus more on customers, products and growth.
Making AI Work for Your Business
One of the practical features of the toolkit is its use of ready-to-adapt AI prompts.Entrepreneurs can use prompts to ask AI tools for assistance with activities such as:
- Developing marketing content
- Generating business ideas
- Preparing customer communications
- Organising business information
- Supporting financial planning
- Developing grant or funding applications
The quality of the results depends partly on the information provided to the AI tool. Entrepreneurs are therefore encouraged to give clear instructions and relevant information about their business, target customers and objectives.
A Practical Approach to Digital Transformation
Digital transformation does not have to happen all at once. The toolkit encourages entrepreneurs to assess their current digital capabilities and take practical steps according to their level of readiness.
The proposed approach includes foundational, emerging and growth-oriented levels, allowing entrepreneurs to focus on tools and practices that are appropriate to their current needs.
The toolkit also provides a 30-day action plan and a weekly business tracker to help entrepreneurs turn digital learning into regular business practices.
Why Digital Adoption Matters
The assessment found that 76% of the businesses assessed had smartphones, 88.9% used social media for business and 67.3% used mobile payments. At the same time, marketing, financial management and record keeping remained important challenges.
These findings demonstrate that digital transformation is not simply about having access to technology. It is also about using available tools strategically to address specific business needs.
For women entrepreneurs, adopting simple digital practices can provide opportunities to improve visibility, strengthen customer relationships, organise business information and make everyday operations more efficient.
Start Small, Build Consistently
The AI & Digital Transformation Toolkit encourages entrepreneurs to take a practical approach: identify a business challenge, select an appropriate digital tool, learn how to use it and gradually incorporate it into everyday operations.
Whether it is creating a social media post with Canva, managing customer conversations through WhatsApp Business, keeping financial records in Google Sheets or using AI to generate ideas and draft content, small improvements can become part of a broader digital transformation journey.
